Business Communication: Questions and Answers

QUESTION AND ANSWERS

1. How technology affects communication positively and negatively?

Technology has been a very useful tool in communication. Even so, technology leaves an impact in the way society communicates, both positively and negatively.

Positive impacts of technology on communication:
  • With technology, communication becomes really easy and convenient. People now can convey messages quickly with just a press of a button, whether it through texting or calling.
  • Technology strengthens the connection between people who are far away from each other.
  • When communicating, usually you have to meet each other first, but with the help of technology, you don't have to talk directly.
  • Technology makes it easier for disabled people to communicate. For example, hearing aids that are designed for deaf people, and speech generators for people with speech impairments.
  • Information can be shared widely, not only to just one person.
  • In business, technology plays a big role in its company development. With communication technology, decision-making process takes little time. It is proven with the existence of video conference calls.
Negative impacts of technology on communication:
  • Some don't have access to such technology, leaving it hard for them to communicate with other people.
  • Forms of communication, like social media, can lead people to addiction. It makes people crave for too much information.
  • Communication with technology cause less face-to-face interaction. This can lead to the lack of interpersonal communication skill. Or in short, reduces social interaction with other people.
  • Sometimes it can cause a lot of misunderstandings. When we write something, especially in text message, we use our own language, terms, or abbreviations. That can cause the people who read it to be confused and misunderstood the context.

2. Why listening is such a big challenge for most people? Explain!

Listening can be a challenge for some people because:

Sometimes it is hard for people to focus.
People's mind can be preoccupied with something else. If they're anxious or busy, their mind is restless with thoughts. They tend to think about something else, like how to reply the conversation, or thinking about their job, rather than focusing on the conversation or lecture.

The speaker is not clear in conveying the message.
The factors that influence this might be the situation at that time. Maybe the message is not clear because the room is crowded, so the listeners could not hear the message very well. The other factor maybe includes the speaker themselves, maybe they are not well prepared, so the message is not carried out very well.

The topic being discussed is not interesting.
When the topic is about something boring, it can be hard for the listeners to follow. They are not interested anymore with the topic being discussed.

People get distracted easily.
When people are conversing, or listening to a lecture, they can easily get distracted with their surroundings. They can get distracted by their phones, the people sitting next to them, or other things.

People disagree with the topic.
When the topic is about something that people disagree with, they become so involved in opposing the speaker's opinion. As a result, they stop listening to what the speaker has to say.

They feel under the weather or tired
People can hardly listen and understand something if they are sick. They don't have the energy to do that.
